Job Description
1. Procurement & Documentation
- Prepare and issue Purchase Orders (POs) and follow up with suppliers.
- Review invoices and shipping documents for accuracy regarding quantities, prices, product codes, and official seals/signatures.
- Review Excel-based invoices for suppliers in accordance with specific shipping and customs regulations.
2. Banking & Customs Compliance
- Prepare and process Annex 4 for invoices and coordinate with banks to finalize financial procedures.
- Handle the payment of medical fees and stamps, and ensure invoices are officially stamped.
- Manage payments and follow-ups for all EDA receipts, including:
- Release receipts and import approvals.
- Annual import plans.
- Registration, Vigilance (Safety), and Variation fees.
3. Regulatory Affairs & EDA Liaison
- Manage correspondence related to shipments, including shipping documents, product certificates, and MOH certificates.
- Exchange official documents with the Registration Office (notifications, certificates, receipts, etc.).
- Monitor product status regarding registration, variations, safety updates, and annual import plans.
- Prepare Annual Import Plans and submit applications for import approvals and releases.
- Prepare requests for modifications and variations related to the Importer Register license.
4. Logistics & Field Operations
- Handle the delivery and collection of official documents for logistics.
- Request registration samples for new products and complete their approval processes.
5. Data Management & Reporting
- Maintain and manage office files and data sheets, including:
- Calculate costs for shipments and general expenses.
- Manage product coding on the GS1 system and maintain the company’s product code database.
