Job description:
Operations Management:
- Supervise and manage daily administrative activities, including office management, facilities maintenance, supplies, and workspace arrangements.
- Supervise housekeeping, security, reception, and general services teams.
- Coordinate with building management and vendors for facility issues.
- Ensure office supplies are available and well stocked for all departments.
- Maintain inventory for pantry and cleaning supplies.
- Select and manage vendors for services like cleaning, catering, security, stationery, etc.
- Evaluate vendor performance and service level agreements.
- Create and follow up purchase requests using the Oracle system and track the process until items are received.
Fleet & Vehicle Management
- Manage the process of acquiring new vehicles, including registration, licensing, and insurance.
- Ensure timely renewal of vehicle licenses and compliance with regulations.
- Oversee maintenance schedules, repairs, and vehicle utilization records.
Travel & Logistics
- Manage travel bookings, accommodations, and logistics for staff and executives.
- Oversee company transportation (fleet, drivers, vehicle licensing and maintenance).
Employees Support:
- Oversee administrative aspects of HR functions, such as employee records management, and benefits administration.
- Support employees onboarding, and training facilities.
Financial Administration:
- Manage administrative budgets, expenses, and financial records.
- Coordinate with finance department for invoicing, billing, and expense reimbursements.
- Vendor and Contract Management:
- Liaise with external vendors, contractors, and service providers.
- Negotiate contracts, monitor service delivery, and ensure compliance with agreements.
Regulatory and Compliance:
- Develop and implement administrative policies, procedures, and guidelines.
- Ensure compliance with regulatory requirements, including labor laws, health, and safety regulations.
Event Planning and Coordination:
- Organize and manage company events, meetings, and conferences.
- Coordinate logistics, catering, and guest arrangements as needed.
Executive Support:
Provide administrative support to senior management, including scheduling meetings, managing correspondence, and preparing reports
Job requirements:
• Bachelor’s degree in business administration or related degrees
• Minimum of 7 to 10 years of progressive experience in administration.
• Experience in fleet management.
• Exceptional leadership and team management skills.
• Excellent communication and interpersonal skills.
• Strategic thinking and operational planning.
• High attention to detail and organizational discipline.
