Job Summary
The Stock Control Officer is responsible for maintaining accurate inventory levels across all product categories, including samples, packaging materials, and finished goods. The role ensures secure and efficient stock movement, supports order fulfillment, and coordinates with suppliers, vendors, and internal departments to maintain optimal inventory flow. This position plays a key role in minimizing waste, preventing shortages, and supporting product launches and seasonal campaigns.
Key Responsibilities
1. Stock Management & Control
· Maintain stock at optimal levels — avoiding overstocking or stockouts.
· Monitor daily stock movements across warehouse and fulfillment zones.
· Conduct regular physical stock counts and reconcile with system records.
· Document all incoming/outgoing stock transactions, including sample kits, promotional items, and finished products.
· Track and record damaged, exchanged, or expired items.
2. Reporting & Analysis
· Prepare weekly and monthly reports on stock levels, consumption trends, and reorder needs.
· Analyze product movement to identify fast-moving, slow-moving, and stagnant SKUs.
· Recommend minimum and maximum stock thresholds for each product type.
· Provide insights to support purchasing decisions and campaign planning.
3. Procurement & Coordination
· Request replenishments from approved suppliers and vendors in alignment with operational schedules.
· Coordinate with Finance on purchasing approvals, payment tracking, and cost optimization.
· Negotiate pricing, quality, and delivery terms with suppliers.
· Follow up on pending deliveries and supplier performance metrics.
4. Warehouse & Security
· Ensure warehouse and storage areas are secure, organized, and compliant with product handling standards.
· Implement proper storage procedures for sensitive items (e.g., temperature, light exposure).
· Supervise receiving, storing, and dispatching operations to ensure accuracy and timely fulfillment.
5. System & Documentation
· Maintain accurate data in the inventory management system (Excel, ERP, or CRM tools).
· Document all stock transfers between departments or branches.
· Support system upgrades and automation to improve inventory accuracy and traceability.
6. Continuous Improvement
· Review and enhance stock control procedures regularly to support growth and efficiency.
· Provide data-driven insights to improve planning and reduce waste.
· Collaborate with Sales, Operations, Finance, and Procurement to ensure full stock visibility and availability.
Qualifications & Skills
· Bachelor’s degree in Supply Chain, Business, or related field
· 2+ years experience in inventory or warehouse control (preferably in cosmetics, FMCG, or retail)
· Familiarity with inventory software (Excel, Microsoft Dynamic, Zoho, Odoo,or similar)
· Strong attention to detail and organizational skills
· Understanding of product handling and shelf-life sensitivity
· Good communication and reporting skills
