Key Responsibilities:
- Receive enquiries from different customers / clients, open job files, check if rates are agreed upon and if not, follow up with sales for quotations for approval before order processing. Adhere to order processing timelines as specified by the customer in accordance with the urgency and value of the cargo.
- Open job files accurately, generate the airway bill number, receive all documents / certifications, file and record them in a systematic and accurate manner. Coordinate with customs compliance department for timely clearances thereby enabling smooth operations.
- Assess airline rates and identify carriers (carrier space booking) appropriately while maintaining adequate margins and not compromise on quality of service. Maintain a record of sell rates and buy rates for all orders processed.
- Prepare accurate IDG, labels, house and master bills and provide the information to the customer to enable their system updating. Close the files, and accurately carry out the cost of orders before forwarding the same to accounts for invoicing
- Submit documents and payments to the handling agent in a timely manner after checking for correct charges and file the receipt systematically.
- Liaise with the carrier on departure details, send timely pre-alerts and documents to destination offices, maintain records on carrier performance.
- Keep the customer well informed on the status of the shipment and regularly update them in case of any delays, offloading and re-bookings. Update the status in the system accurately and send timely customer pre-alerts / confirmation of dispatch.
- Prepare the necessary reports and forms in case of any damage and forward the same for timely claim resolution. Prepare reports as required by the customer / manager regarding each job / order processed.
Qualifications:
- Bachelor’s degree in Business Administration, Logistics, Supply Chain Management, or a related field.
- 2 to 7 years of proven experience in the Freight Forwarding or Logistics industry, preferably in Air Freight Export operations.
- Excellent command of English, both written and spoken.
- Strong customer service and client relationship management skills.
- Highly organized with exceptional attention to detail.
- Good understanding of air freight export procedures, documentation, and international shipping regulations.
- Experience in coordinating with airlines, overseas agents, customs brokers, and customers.
- Knowledge of CargoWise or other freight forwarding management systems is an advantage.
