Key Responsibilities and Accountabilities

Warehouse Operations Management

  • Supervise and manage the daily warehouse operations and motivate the warehouse team to achieve the daily activities.
  • Ensure proper receipt, storage, issuance, and tracking of materials and inventory.
  • Monitor warehouse stock levels and maintain effective inventory controls via maintain accurate records of all warehouse items, including IT, printing materials, papers, marketing materials, giveaways, consumables, cartridges……. etc.
  • Manage warehouse additions and withdrawals, maintaining a detailed history and audit trail.
  • Conduct regular stock & inventory counts and physical inventory checks to ensure optimal stock levels & prevent excessive storage.
  • Participate in tender processes to provide technical feedback.
  • Investigate and resolve discrepancies between physical stock and system records.
  • Develop and implement corrective actions to improve inventory accuracy and operational efficiency.
  • Ensure compliance with company policies, Internal control & Risk management procedures.
  • Manage Purchase Order process end to end quarterly till the vendor invoices after validating physical quantities received and ensure the stock availability.
  • Manage the warehouse key register and complete handover procedures for team members.
  • Track business unit consumption to avoid unnecessary quantities.
  • Maintain a consolidated record of printed materials designs, PDFs, and specifications.
  • Track the annual consumption of printed materials and IT hardware & consumables.
  • Ensure the physical security and maintenance of warehouse facilities and ensure that it adheres to safety protocols and regulations.

Fixed Asset Management

  • Manage fixed asset registration, barcoding, and labeling
  • Manage and maintain the fixed asset register and related documentation.
  • Asset Tracking and management: Maintain a comprehensive register of all fixed assets including acquisition, disposals, and transfers.
  • Perform periodic physical verification of fixed assets and maintain accurate records of all fixed assets items across all the company premises.
  • Participate in handling auction process for write off & scrap items (sale of obsolete fixed assets).
  • Work and collaborate with finance team to align asset management with financial planning and reporting
  • Identify and resolve discrepancies between the warehouse/fixed asset records and Finance records.
  • Lead reconciliation exercises between operational records and accounting registers.
  • Coordinate with the Finance department to ensure proper capitalization, transfers, disposals, and asset tracking.

Budget, Systems & Process Improvement

  • Familiar in use Power App application.
  • Lead the implementation, documentation and enhancement of warehouse and fixed asset management processes.
  • Participate in the development and implementation of the new ERP system related to warehouse and fixed assets.
  • Support the establishment of a proper Fixed Asset Management System.
  • Create and maintain standard operating procedures (SOPs) for warehouse and fixed asset operations.
  • Recommend process improvements to strengthen controls and operational efficiency.
  • Manage Department Budget via keep yearly tracking and work closely with Finance Team for the department budget forecast and allocation.

Reporting & Compliance

  • Prepare regular reports related to inventory status, reconciliation progress, fixed assets, and operational KPIs.
  • Ensure proper documentation and audit readiness for all warehouse and fixed asset activities.
  • Support internal and external audit, Compliance and Risk Management requirements.

Team Management

  • Supervise, guide, and monitor the warehouse and fixed asset team.
  • Assign daily operational tasks and ensure timely completion.
  • Train team members on processes, controls, and system usage.
  • Promote accountability and continuous improvement within the team.
  • Take necessary actions to rectify any issues before or upon occurrence.
  • Managing the team the storge service runed by third party (Iron Mountain) as responsible

for handling services, paying invoices, submitting all AXA Staff requests, visiting Iron

Mountain facility quarterly to ensure safety` and efficiency (boxes, documents, etc.).

  • Responsible for managing with the team the distribution of the medical claim forms for medical providers, handling requests on PowerApps, following up with medical network members if any of them has an issue to solve, and adding/removing new/terminated providers to the network list.

Qualifications & Experience

  • Bachelor’s degree in Accounting, Supply Chain, Business Administration, Finance, logistics or related field.
  • Minimum 6–8 years of experience in warehouse, inventory, or fixed asset management.
  • Experience in reconciliation exercises and inventory control.
  • Previous experience in ERP implementation or Fixed Asset Management Systems is highly preferred.
  • Strong understanding of inventory controls, fixed asset accounting, and operational processes.
  • Advanced Excel, Computer and reporting skills.
  • Strong leadership, analytical, strong communications and problem-solving skills.
  • Have Proactive and Innovative approaches.
