Responsibilities and Duties:
1. Build and maintain strong vendor’s relationship by effective and regular communication to follow up on the sales orders and achieve the target, paying particular attention to order tracking.
2. Set a detailed order plan, determining needed items to be ordered from vendor/ distributor, items to be purchased locally, delivery requirements, in-house or outsourced technical team needed for installation and training, payment method and dates.
3. Direct and coordinate activities to guarantee the timely receipt of orders from vendor/ distributor.
4. Inspect the deliveries for damage and report those to be returned.
5. Direct and coordinate activities necessary to deliver the order to customer in full, on time, and safely.
6. Arrange for installation and training, as necessary, by working with the technical department, sales, and presales to conduct the kick-off meeting with the customer prior to order delivery.
7. Communicate with finance to issue invoices as per payment terms agreement with customer and vendor/ distributor.
8. Coordinate on weekly-and-monthly- basis with business control, sales, technical, and finance departments to ensure the proper processing of order starting from the customer kick-off meeting until the full collection of order revenue.
9. Send purchase order to vendor/ distributor based on the technical and financial proposal accepted by the customer.
10. Participate in the calculation of order costs as shown on the order cost sheet, in particular for costs associated with shipping order items from the distributor to the customer, installation and training costs, and any other additional item purchases.
11. Manage the workflow of project management and order processing on Odoo ERP System.
12. Conduct quarterly performance review of distributors by evaluating them based on order delivery capabilities, performance and consistent quality.
Qualifications and Specifications
- Bachelor’s degree.
- Experience ranges from 4 to 6 years in order processing, project management, procurement, delivery management, and operations follow-up.
- Work experience in the IT industry is preferred.
- Very good command of English (speaking, writing, and reading)
- Highly professional communication skills (verbal and written)
- Very good in using excel, and emails.
- Highly organized and disciplined.
- Excellent time management and perfect follow-up skills.
- Presentable and persuasive.
- Very good negotiation skills.
