Job Purpose:
The Procurement Officer plays a crucial role in the strategic sourcing and procurement of various product categories, focusing on achieving optimal quality, cost, and delivery terms, with a central scope primarily targeting GCC countries like KSA. Based in our central procurement team and reporting to the Supply Chain & Procurement Senior Manager, the officer will secure high-quality products across categories such as Food & Beverage, Jewelry, Fashion Accessories, and more, ensuring all activities are executed according to SOPs and policies. This role requires strong negotiation skills and the ability to maintain robust supplier relationships while supporting broader procurement efforts across the GCC. Flexibility to work long hours and travel if required to ensure successful procurement within the required timeframe.
Job Responsibilities:
Strategic Sourcing and Procurement:
- Understand the business and possess a strong knowledge of local and international markets, particularly in the GCC region, focusing on product categories such as Food & Beverage, Jewelry, and Fashion Accessories.
- Liaise with suppliers and company stakeholders regarding updates and details of product purchases, with a focus on KSA and other GCC countries.
- Analyze industry and demand trends across the GCC to support management in developing and implementing sourcing strategies.
- Implement and assist in developing strategies for spending analysis, materials sourcing, supplies, and services, focusing on GCC-based suppliers.
- Understand, track, and forecast key cost drivers and market factors for assigned commodities in the region.
- Execute procurement plans and be responsible for meeting all targets and KPIs related to product sourcing within the GCC.
- Supervise in-stock levels and the replenishment process for assigned product categories, ensuring smooth operations within GCC countries.
- Lead sourcing and procurement efforts across relevant categories, aligning with company objectives on quality, cost, and timelines, particularly for the KSA market.
- Negotiate contracts and manage supplier relationships to secure favorable terms and reliable supply chains within the GCC.
Operational Efficiency and Compliance:
- Meet budgets, deadlines, and KPIs, including cost analysis, contracting, and vendor management, focusing on GCC countries.
- Build and maintain relationships with suppliers, evaluate their performance, and update the database periodically.
- Ensure suppliers across the GCC are paid in a timely manner.
- Monitor contracts, purchase orders, consumption, and spending specific to the GCC.
- Oversee the procurement process and supplier evaluation, ensuring compliance with internal policies and regulations.
- Manage procurement documentation, including purchase orders and contracts, ensuring accuracy and timely financial processing for GCC operations.
- Coordinate with internal teams to forecast procurement needs across the GCC and adapt strategies as necessary.
Stakeholder Engagement and Communication:
- Collaborate with internal stakeholders across the GCC to understand and fulfill their procurement requirements.
- Maintain effective communication with suppliers to ensure timely delivery and quality control, with a focus on the KSA market.
- Regularly provide procurement activity updates and market insights specific to the GCC region to the Lead Procurement Manager.
Data Entry and Accuracy:
- Enter data efficiently and accurately into our databases and systems.
- Verify data for accuracy, reviewing any errors or discrepancies.
- Conduct regular data quality checks to identify and rectify any discrepancies.
Organization and Documentation:
- Organize and file documents and records in an orderly manner, with specific attention to GCC-related documentation.
- Assist in the creation and enhancement of data entry procedures and guidelines.
Collaboration and Confidentiality:
- Work collaboratively with other team members to ensure data accuracy and consistency.
- Manage confidential and sensitive information with the utmost discretion and professionalism.
Adherence to Policies:
- Strictly adhere to company policies and procedures related to procurement and data management, ensuring compliance within the GCC markets.
Key Work Expereince:
- 3+ years of procurement experience, preferably within the GCC region, handling categories such as Food & Beverage, Jewelry, Fashion Accessories, or similar.
- Proven track record of supplier relationship management, contract negotiation, and sourcing in the GCC.
- Experience working in a centralized procurement function, focusing on strategic sourcing, cost analysis, and vendor management.
- Familiarity with local and international markets in the GCC, especially KSA, and the ability to adapt procurement strategies accordingly.
- Strong knowledge of procurement processes, including budgeting, forecasting, and in-stock level supervision.
- Experience in data entry and procurement system management, ensuring accuracy in documentation and reporting.
