Job purpose:
You will be accountable for procurement and availing all needed supplies and ensuring operations continuity with no stoppage. You will establish the procurement function including all the associated policies, procedures, SOPs, SLAs…etc and setting the vendors’ selection, assessment and relations management systems
What do we expect from you:
1- Key Duties:
- Develop the procurement strategy aiming at achieving efficiency, quality and risk management
- Develop the procurement policies, procedures, SLAs and department KPIs and ensure they are strictly followed
- Lead the annual procurement plan through partnering with the management team and work on minimizing variances as possible along the year
- Translate the needs into a proposed budget and present it to the direct manager, GM and the involved stakeholders to obtain approval or the green light to prepare own plan
- Engage reliable vendors to support the business & build long-term relationship with them
- Use expertise and negotiation techniques to reach to a successful and win-win partnership with the vendors
- Monitor vendors’ performance and identify any non-conformities and action upon
- Put in place vendors assessment and selection criteria and ensure compliance with the selection process
- Ensure timely coding of vendors on the system
- Ensure obtaining three quotations for the required items
- Ensure all required approvals are obtained as per the delegation of authorities.
- Approve POs through ERP and confirm to date of delivering goods & services
- Control the procurement budget in coordination with the accounting manager and promote a culture of optimization (short-term & long-term).
- Analyze market trends to support the management for purchasing decisions.
- Supervise the team and maintain high data accuracy to avoid any risk of errors
- Sets the inventory stock level and order minimum level policy ensuring no rupture takes place
- Tracking the inventory minimum stock level to plan for the required POs.
- Supervise inventory cycle & team.
- Monitor slow moving items and high demand items and present the required actions
- Ensure tendering process are compliant with the set policies and that all required documentation are delivered
- Ensure stores physical check is carried out as per the planned schedules and that unplanned checks are done as well and identify discrepancies in case found
- Ensure the main store is organized based on the best storing practices and applying the known methodologies such as FIFO and LIFO and others
2- People Management:
- Act as the ambassador and role model of KODE culture and ensure integrating it in the teams’ mind and heart
- Ensure a safe and fair working environment to the whole team across all levels
- Coach the team on the best practices in performing their jobs
- Work with the team on setting their individual goals and KPIs and ensure establishing partnership relationship internally with the business and externally with the vendors
- Together with the People and Culture and the management team, ensure attracting and bringing the right talents on board and ensure having the right capabilities in place through identifying the development needs
- Working closely with the People and Culture on initiatives and programs to enhance the team engagement and empowerment as well as keeping a healthy retention and turnover index
3- Health and Safety:
- Lead a healthy and safety culture among the team and ensure adhering to the set instructions
- Ensure storekeepers are following the safety and ergonomics instructions and wearing their PPEs at all times
- Ensure following store safety instructions in organizing the store and the goods
4- Reporting:
- Stock level and analysis
- Market trend and prices variances
- Vendors’ performance
5- Continuous improvement:
- Always on the search for new vendors
- Constantly work on programs and projects aiming at optimizing the company resources
What do you need to perform your role:
To perform your job successfully, you need to have the following minimum requirements:
Education and experience:
- Bachelor’s degree in relevant discipline
- Certifications in procurement and/or supply chain management is an asset
- 7+ years experience with at least 3 years in a supervisory position
Skills and knowledge:
- Excellent analytical skills and high attention to details and figures
- High communication and presentation skills.
- Excellent negotiation skills
- Excellent stakeholders management skills
- Very good networking within the industry
- Advanced Microsoft Excel skills. Experience in ERP is a must. (Odoo is a great plus)
- Quality oriented
- Strong leadership skills with a dedication to driving and achieving results
- Excellent proficiency in English is a must
