Job SummaryWe are looking for a Facilities Project Manager. The Facilities Project Manager will be responsible for minor building refresh and branding projects. Position will be responsible to ensure project goals are supported and assistance is provided to Sr. Project Managers and Project Director.The candidate will organize and prioritize direction provided by the Real Estate and Facilities leadership team. Candidate will be tasked with providing a structured approach to minor projects for the Facilities and Real Estate functions while ensuring priorities are meeting key performance metrics. Additionally, the candidate must be able to work in the ever changing and fast paced role supporting a BPO (Business Process Outsourcing) company.Primary Responsibilities
- Lead a variety of short-term, cross-organizational projects through project management and process coordination track reporting, deadlines, quality assurance, presentations
- Prepare purchase requisitions, track invoices and payments, daily office operations, maintain office records, and provide general support services for the department as needed.
- Facilitate initiation of all critical project meetings and coordination exercises with internal staff, key stakeholders and external users to ensure responsibilities are efficiently, accurately and effectively communicated.
- Support project performance against schedules, scheduled milestones and critical path items on multiple projects.
- Assist project team leaders to ensure performance and compliance with contractual requirements, all regulating entities and client expectations.
- Support the completion of performance metrics.
- Assist leadership to complete priorities, strategically align time with those priorities, ensuring progress and completion.
- Build and maintain rapport with client representatives and internal customers.
- Coordinate any necessary due diligence efforts on behalf of the internal team, project partners, clients and/or end users, maintaining and delivering all appropriate documentation.
- Facilitate and ensure standards are updated and documented with proper pricing set to support through negotiated contracts.
- Coordinate with the Project Architect for larger projects who will ascertain and develop the technical requirements of the project.
- Consult with project team on critical issues involving critical engineering, IT, and security.
- Relay to team any decisions made regarding project design and construction.
- Define up front the project scope and deliverables in collaboration with the stakeholders.
- Validate estimates of the resources and participants needed to achieve project goals.
- Ability to manage multiple smaller projects with different clients concurrently.
- Suggests areas for improvement in internal processes along with possible solutions.
- Minimal travel required.
